Presenting with Excel Live
Use Excel Live to shareworkbooks with your team. Edit and explorecontent with others within the meeting window. While you share, you set the pace. Participants can navigate throughcontent on their own and sync with you later.
You canshare Excel workbooks using Teams for web. Mobile presenting isn't available.
You'll need to have full sharing permissions for a file to present it.
Presenter
Present and work together over the same file, with real-time changes visible to everyone in the meeting.
Presenter updates to the file, including sorting and filtering, are visible to every attendee.
UI aspects of features being used—for example, the ribbon menu—aren't shown to everyone.
Attendee
Meeting attendees can follow the presenter to automatically view the region of the file being shown. No other action is required.
Use zoom controls to optimizereadability. Zooming a file as an attendee doesn't affect others.
Collaborating in Excel Live
Anyone in an Excel Live session can collaborate in shared content. If you're not presenting, navigate through the shared workbook on your own and join the presenter when you're ready.
Note:People who jointhe meeting from a mobile device can follow along with the presentation andexplore content but can't make edits directly inTeams. If you want to edit an Excel workbook from a mobile device, tap Edit in the meeting window to open itin the Excel app.
Join an existing meeting or start a new one with your team members.
Note:Excel Live is supported formeetings with 25 or fewer invitees.
Select Share and scroll down to the Excel Live section.
Select the Excel workbook you'd like to collaborate in during your meeting.
Note:If you can'tfind the Excel workbook you're looking for, select Open in OneDriveor Browse my computer to see more files.
Select Share to give others in your meeting permission to access and edit the workbook.
All participants in the meeting are provided with file permissions to edit. Meeting participants retain file permissions to edit even after the meeting ends.
Note: External users—that is, users who aren't from your organization—aren't provided access to the file in the meeting itself. They can access the file by opening it in abrowser window. Guest users—that is, users who aren't signed in—aren't given access to the file either. That said, a guest userwith pre-existing access to the file can open it in a browser window.
Presenting with Excel Live in a meeting or conference room
Meeting/conference room display devices can't showcontent shared using Excel Live in a meeting. All users in the meeting can collaborate in Excel Live from their respective devices.
Recording Excel Live sessions
Currently, Excel Live meeting recordings don't include the interactive workbook shared in the meeting. The audio and user video are recorded just as they are in other meetings.
FAQs
I’m not seeing the file that I want to share using Excel Live in a meeting. What do I do? Your file might not be in a modern format, like .xlsx, or your file might not be a Cloud file. Try uploading the file to solve the issue.
After the meeting, will participants have access to files shared through Excel Live during the meeting? Yes. Files shared through Excel Live in a meeting are accessible to the participants even after the meeting ends. To revoke access to a file shared during Excel Live in a meeting, go to the Share and manage access option for the file and remove the participants you don’t want to give continued file access to. You can also stop sharing OneDrive or SharePoint files or folders, or change permissions (microsoft.com).
Can I share a password-protected file using Excel Live in a meeting? No.We don't support coauthoring in password-protected files.
Why does the meeting show 25 participants when there are fewer than 25 participants in the meeting? The restriction for using Excel Live in a meeting is based on the number of invitees to the meeting, not the number of participants who joined the meeting.
Go to your meeting invite and select Edit > Add a tab (+). Search for the Q&A app or select it if it's already available, and then select Add. Choose webinar settings to give attendees specific permissions. Select Moderate attendee conversations to let organizers decide which questions to publish to the Q&A feed.
Upon the conclusion of the event, navigate to your Teams calendar and double-click the event invitation. Click the down arrow next to Q&A report. Download the report as a .CSV file, which will be saved in your computer's Downloads folder.
When you enable Q&A, organizers can turn on Q&A in their Meeting options when creating or updating meetings and events. Through Teams and Outlook meeting options, organizers can also remove Q&A from meetings where it was previously added to prevent attendees from using the feature.
In Teams, select Calendar. Find the meeting you've scheduled for which you want to add polls and click or tap it. Select Chat with participants. Add a tab, search for and select Polls, and then click or tap Add.
Click “Share,” then give permission to share with all participants. Once you've shared the Excel file, all participants in the meeting can edit it. You can lead the meeting while clicking through the workbook. Participants can follow along or browse the workbook's sheets at their own pace.

Install the Excel Add-In - After installation look for the CData Connect Cloud button on the Excel Ribbon.
Configure your Microsoft Teams Connection - Click on the connect cloud add-in from within Excel to setup an account and configure a connection to Microsoft Teams.
While scheduling your live event, you'll see the Enable Q&A and comments for attendees setting. By default, this setting is on. If you want to start a live event without Q&A and discussions, simply toggle this setting off. Now, attendees will no longer see a publisher in their feed.
Organizers, producers and presenters will be able to view and respond to the Q&A. This option can be enabled when the event is scheduled or during the event. To enable Q&A when scheduling the event, place a check for Q&A in the Event options of the event details.
To use live captions in a meeting, go to your meeting controls at the top of the screen and select More. > Language and speech > Turn on live captions.
To stop using live captions, go to the meeting controls and select More. > Language and speech > Turn off live captions.
