General Guidelines

Responsible Purchasing is the acquisition of goods and services that meet the business and research needs of the consumer while also being environmentally-friendly, socially responsible, and ethically-sourced.

A standard purchase order (PO) is created when the details of the required goods or services are known. Same as other purchase orders, this one is also a one-off procurement that has the complete set of specifications such as price and quantity with clearly defined payment and delivery timelines as well as location.

Before describing 7R briefly, the R written above denotes, Right Product, Right condition, Right quantity, Right Place, Right customer, Right price, and Right time.

The primary purpose for using a purchasing standard is to ensure that sufficient quantities of all food are on hand to meet daily requirements. To establish and maintain these standards, food inventory must become a daily routine.

For example, a chicken patty sandwich requires a chicken patty and bun. The purchase specifications of the chicken patty may include its source, weight, type of packaging, delivery temperature, minimum order and maximum order. For each ingredient in a recipe, there should be a corresponding purchase specification.

If an office ran out of printing paper and/or ink cartridges, based on the scale of the company, a standard PO may need to be raised and provided to a purchasing manager for approval before those items were purchased from a supplier.
