How do I check my Outlook mailbox size limit? ›

To find the size of your mailbox, in the Mail view, click your account. Click Folder > Folder Properties. Click Folder Size at the bottom of the pane. You'll see that the size for the mailbox and each subfolder is indicated in kilobytes (KB).

In the admin center, go to the Reports > Usage page. Select View More under Email activity. From the Email activity drop-down list, select Exchange > Mailbox usage.

If you can't find the icon, it might be hidden in the overflow area. To view all icons, click the up arrow on the taskbar. Click Set mailbox size limit. Select a mailbox size—1 GB, 2 GB, 4 GB, or Unlimited.

From the Settings > Storage page you should see a breakdown of how much space each folder in your mailbox is taking.

On the mailbox properties page, click Mailbox Features. Under Message Size Restrictions, click View details to view and change the following message size limits: Sent messages: To set a maximum size for messages sent by this user, select the Maximum message size (KB) check box and type a value in the box.

In the Outlook Options window, click on Mail in the left-hand menu. Scroll down to the Send messages section and look for Maximum attachment size. The value listed here is the maximum allowable attachment size for your account in megabytes (MB).

Public folder mailboxes (in all subscription plans) have a limit of 100 GB. Shared mailboxes don't require any license and have the standard, 50 GB size limit.

Increase mailbox size

To increase a specific user's mailbox size, select the button below to launch a diagnostic in the Microsoft 365 admin center. The diagnostic will guide you through the process of assigning a different subscription license to the user.

Use the Zoom control at the right, bottom of the Outlook window. If you are using a mouse with a wheel control, click the Reading Pane, press Ctrl, and roll the scroll wheel. Rolling the wheel away from you makes the contents larger, rolling the wheel toward you makes the contents smaller.
